Schedule Process Change
In an effort to reduce the high volume of no-show appointments we have been experiencing, we will be changing how we add provider schedules to Zocdoc. We have noticed that the likelihood of a no-show appointment increases 3x when a Patient books an appointment over 48 hours out. Because of this, we will be only showing 2 days of availability on Zocdoc. Here's how it will work.
- Providers will add their schedules to besa health calendar
- Support will be adding the second day each day to Zocdoc using the hours that are inputted into besa
- Any appointments on the besa calendar will be blocked when adding the second day to Zocdoc
- We will monitor no-shows more closely to see if this has a positive effect
Follow-Up Appointments
It is important that Providers schedule the follow-up appointment while in the encounter with the Patient. Oftentimes, the provider is the only person the Patient feels comfortable with until they get used to their care manager, and in some cases, is the only person the Patient is in contact with.
The quickest way to schedule an appointment would be to select the + Add Item button and click on Add Appointment. A new tab will open with the calendar. The follow-up appointment should be within one month.

Patient Notes
In order to properly treat and care for a Patient we must first develop a relationship with them. This gets fostered during the small talk at the encounter. It occurs when the Patient realizes you are asking questions about them and not just their ailment.
When learning something about the Patient be sure to add it to the Patient note section.

Providers should always be adding something here in the Patient notes that the team can use to relate to the Patient. One example that recently occurred was a Patient is getting married early this year. Their care manager, when responding to an inquiry, brought up the wedding month and started a secondary conversation with the Patient - further building the relationship between the Patient and their care team.
If you are not too sure what may be important to ask or to put in the Patient notes, asking if they have any trip plans or if they have traveled recently is a great one. What this does is (1) gives the Patient an opportunity to talk about a happy or eventful experience, or (2) gives the Patient the chance to say something that they are looking forward to and planning.
With something a trip planned, the support team will be able to relate with or do some research about and send some must do itinerary items to the Patient.
30 Day Supply & Medication List
Patient prescriptions should only be a 30-day supply for all new Patients and a follow-up scheduled prior to ensure they are able to get a refill with ample time. Please follow the medication protocol if you have any questions.
Providers during the encounter need to confirm and possibly add the Patients current / active medications to the Patient records. To quickly add a medication while in the encounter, select add item > medication
