This quick guide is intended to help you better understand which suppliers we use for what and how we may be able to reach them. This is intended to be used with the re-ordering process to ensure we always have stock.

🎯 Key Points

  • All supplier accounts are already on POS tablet. 
  • All suppliers have a card on file, or are on terms and will bring / send an invoice.
  • Square will list the vendor / supplier for the item you’ll need to reorder. 
  • Ideally we are reordering each week for most suppliers. Some require daily, or every other day. 
  • We should do an inventory check each Tuesday

✔️ Vendor Specific Process

  • 🥐Crema 
    • They come in at 4am to drop off pastries. They have their own alarm and access to the lockbox. 
    • You need to place the order 36 hours before delivery. For example, place an order on Monday for delivery on Wednesday. 
       
  • 🫘 Delta 
    • Arthur is the man! Just reach out to him whenever we need more beans. 
    • Arthur also services the espresso machine and grinder. He is the coffee guy for us. 
    • It is best to check each week on Tuesday what we may need. 
       
  • 🥝Fruit Cups
    • This comes from the lady down on 4th and Main with the fruit and raspados stand. 
    • Message her the day before letting her know how many to bring. <5
       
  • 🥛Costco Business
    • On the main iPad you should be able to click on the Costco icon and have it already logged in and card on file. Place the order for delivery. 
    • This should be checked and done each Tuesday. 
       
  • 🗃️Amazon
    • Anything office wise needed for the cafe or clinic will be ordered through Amazon. 
    • We are already signed in via the tablet app
    • Be sure to use the proper card when placing the order. The Visa card is for the cafe and the Mastercard is for the clinic.
       
  • 💧Wateria
    • We need to go down to First Street to fill the water jugs. This should be part of our weekly check on Wednesday.

    • Take the cash from the register to pay. Be sure to leave the receipt in the register.
