This quick guide outlines the expectations and step-by-step process for opening the shop each day. A strong opening sets the tone for the entire shift. When we open prepared, organized, and energized, the day runs smoother for both staff and Customers/Patients. All opening team members are responsible for completing their assigned tasks fully before doors open.
Please note, there are many prep items that need to be done at the end of the day. Always double check to ensure nothing was missed. You are the last line of defense!
⏰ Arrival & Initial Setup
Arrive on time and ready to work.
Upon arrival:
- Disarm alarm (if applicable)
- Turn on lights
- Clock In via Square App
- Take SONOS roam and ladder and add it outside
- Turn on music through SONOS app (appropriate volume)
- Ensure HVAC is set correctly
- Unlock front door at scheduled open time (not early unless approved)
🧼 Cleanliness & Presentation
Before opening doors:
- Prep our daily cleaning
- Wipe down counters
- Clean POS screens
- Clean pastry case glass
- Sweep floors if needed
- Check restrooms
- Empty trash if necessary
Front-of-house must look spotless. If it doesn’t look ready for guests, it’s not ready.
☕ Espresso & Coffee Setup
Espresso Machine
- Turn on machine immediately if not on a timer
- Allow proper warm-up time (minimum 20–30 minutes)
- Check water supply
- Check boiler pressure (if applicable)
- Run water through each group head
- Check steam wand pressure
Grinders
- Turn on grinders
- Check hopper levels
- Purge small amount of coffee
- Dial in first espresso shot
- Adjust grind as needed
- Taste and confirm quality
Do not open doors until espresso is dialed in properly.
☕ Batch Brew (SYBO Urn)
- Ensure urn is clean
- Insert filter
- Fill to desired 30 water line
- Add 2 cups of medium ground coffee
- Begin brewing
- Taste batch once complete
Fresh coffee must be ready at opening.
🥛 Milk & Cold Station
- Stock all milk types (whole, almond, oat, etc.)
- Check expiration dates
- Set up bar fridge neatly
- Stock syrups and check pump functionality
- Ice bin is filled
Everything should be fully stocked before opening.
🥐 Bring Out Food
- Bring out and add pastries in display case
- Ensure egg bites are out of packaging and in stainless steel bin with cap
- Check to ensure no other item is missing
🧾 Square POS & Cash Handling
- Ensure correct menu is loaded
- Check modifiers are functioning
- Check cash drawer to make sure you have change
Test a small transaction if needed.
🏥 Patient Readiness
Remember: Patients will check in at the counter first.
Before opening:
- Confirm appointment list for the day
- Understand comp drink process
- Be prepared to ask every guest if they are here for an appointment
- Ensure intake system is accessible
You should know what the day looks like before the first person walks in.
🚪 Five Minutes Before Opening
- Check personal appearance. Make sure you look nice enough to be on a date
- Ensure you’re wearing besa provided clothing, or all black
- Take a breath
- Smile
- Stand ready at or near the counter
We do not open stressed. We open prepared.
🚫 Non-Negotiables
- Espresso must be dialed in before opening
- Batch coffee must be fresh
- All stations fully stocked
- Music playing at proper volume
- Shop must be clean and organized
- POS must be operational
- Staff must be present, energized, and ready
🤝 Why This Matters
The first 30 minutes of the day often determine the pace for the entire shift.
If we open rushed, behind, or unprepared, we spend the day catching up. If we open organized and calm, the day flows.
Opening is not just unlocking a door. It’s setting the standard.
