👀 First Impressions Matter
- Always Acknowledge - When a Patient or customer walks in the door, you should always say hi and acknowledge that they exist. If you are busy, let them know you will be with them soon.
- Greet Every Patient Warmly – Make eye contact, smile, and acknowledge them by name when possible.
- Introduce Yourself & Your Role – Patients should know who you are and how you’re here to help.
- Be Attentive & Present – Give patients your full attention; avoid distractions like phones or side conversations.
🗣️ Speaking with Clarity & Compassion
- Use a Calm & Friendly Tone – Your voice should reflect warmth, confidence, and reassurance.
- Speak Clearly & Avoid Jargon – Patients may not be familiar with medical terms; explain things in a way they can understand.
- Be Patient & Listen Actively – Give them time to express their concerns without rushing the conversation.
- Acknowledge Concerns & Show Empathy – Statements like “I understand that this is a concern for you” help build trust.
🤝 Body Language & Non-Verbal Communication
- Maintain Open & Approachable Body Language – Face the patient directly, keep an open posture, and nod to show you’re engaged.
- Make Eye Contact – It helps establish connection and trust.
- Be Mindful of Personal Space – Respect the patient’s comfort level while ensuring they feel supported.

- Encourage Questions – Ask, “Do you have any questions or concerns I can address?”
- Never Dismiss a Concern – Even if you’ve heard the same question before, treat each patient’s concerns as valid and important.
- No Matter the Ask - Help – In most cases we know what we can and cannot do for a Patient or Customer. That being said, they will ask for things that we cannot do, rather than just telling them we cannot do that. Let them know that based on protocols we cannot, but you will try to see what you can do to help them. Show them that you care about their concern regardless if you can help them or not.
- If You Don’t Know the Answer, Find Out – It’s okay not to have all the answers, but always follow up with accurate information.

- Summarize Key Information – Ensure the patient understands the next steps.
- Thank Them for Their Time – A simple “Thank you for coming in today, we appreciate you” makes a difference.
- Offer Additional Support – Let them know they can reach out if they have further questions or concerns.
